Once a researcher is convinced after conducting a review that a work was correctly created and linked, the next step to undertake is an approval.
Step one: press save to ensure any changes that have been made are actually effected by the platform.
Step two: Select approve work after which a pop-up menu will appear
Step three: entails selecting the tasks that you intend to create. At this juncture there are usually four types of tasks:
Conversion tasks: this task entails converting the source document from pdf into word (because it is easier to import from a Word document).
Import tasks: this task entails importing the content of the work and marking it up, so that it is linked to a work.
Link gazette task: this task does not appear every time the approve option is toggled. It only arises in instances in which the publication document of a work is not available on gazette.africa.
Creation of Amendment task: where a created work has been amended by one or several other works, and such works are correctly linked then this task should arise as an option once the approve option is toggled.
Each of the four tasks is usually accompanied by the following options as evidenced in the image above:
create task: if this option is selected, then the respective task is created and is visible to the editors. This is usually advisable when the work is being created in regards to a high priority project, and all the prerequisites (publication document ready for import and conversion) are available.
create and block task: if this option is selected, then the respective task is created. However, it does not immediately become visible to the editors. This action is usually selected where the work being created is not of high priority for the editorial team or the prerequisites are not readily available. It is therefore important to seek clarification from the project owner.
create and cancel task: this option is usually selected where the task to be created on the platform already exists as a duplicate. This option therefore ensures that no duplicate is created by as the task is deleted on the platform the moment it is created.
NB: Unless instructed to do so, always create link gazette tasks. Kindly do not cancel or block them.
